The phone, answered: Helloforward for plumbers

Helloforward is an answering agent for your business line. It is built on AI, it talks like a person, and it does the office work: answers, books, texts back, leaves a note. Below is what that looks like on a plumber's phone, using an invented company called Northline Plumbing.

A call comes in while you are under a sink

Marta's water heater is leaking. Your phone rings first; you do not pick up, and the line does. It asks the two questions you would ask, takes the address, finds Sam's open slot on the east side, and books it. You see it happen from the van, if you happen to look.

Home, while a call is on. The caller's number, the running clock, and the notes already waiting for you.

The transcript, a minute later. Every call keeps one, so nothing depends on anyone's memory.

It knows the job, and it writes it down

It answers from what you told it once: hours, service area, what you take on, what counts as an emergency. Then it fills in the columns you asked for.

  • “Do you do Scarborough? Roughly what does a drain clean cost?”

Yes, and the range you set. Nothing you did not say.

  • “El grifo de la cocina gotea.”

Answered in Spanish, booked Dev for Thursday 9:00, confirmation sent in Spanish.

  • “The basement is flooding.”

If your rule says emergencies come straight to you, it puts the call through. Otherwise it takes everything down and you get the note that second.

The call log on a desk. Name, number, the job, a summary: the columns are yours to choose. Search finds a name, a number, or anything said.

Texts, handled the same way

A text to your line gets the same care. Bookings get a confirmation. Questions get answers. And when you want to step in, you type in the same thread and the caller never notices a hand-off.

Every conversation on the line. Who texted, what was last said, who said it.

Anita asked to move the visit to 8:30. Dev answered himself, in the same thread, and the agent kept quiet.

Ring your own line, and it works for you

The line knows your number. Call it from the van and it stops being the receptionist and becomes your assistant: who called, add this to the list, mark that done, put me through to her. Hands on the wheel, nothing to type. Texting your own line does the same.

Dev, calling his own line. Who called during the Third Street job, and a reminder to order the flue kit. Kept as a call, marked Assistant.

The note it made. Where it came from, who it is about, and one tap to mark done or come back later.

An assistant between the calls

Every business gets an assistant of its own. Ask it, in plain words, from the app or by text: confirm tomorrow's customers, who have I left hanging, send that. It reads the calendar and the call log, so it already knows.

Two texts out, one lead rescued. The 647 caller who said they would call back gets a nudge, and Friday morning stays booked.

Two vans, or five

Add team members and callers can be booked with a specific person. Each has their own lane on the calendar and their own assistant, so Sam's Tuesday does not fill up with Dev's jobs. Ten dollars a month a person. Bookings sync both ways with Google Calendar if you use it.

The week, by person. Sam's jobs in blue, Dev's in orange, the tentative estimate dotted until it is confirmed.
